Position Title: Marketing Assistant

Job Summary

The responsibilities of this position include, but are not limited to, coordinating various projects, extensive proposal writing and marketing content creation, coordinating various sales-related efforts, supporting client requests, and administrative support for the Marketing Manager as needed. As representative of HDS you are expected to conduct yourself in and out of the office in a professional manner, keeping a customer positive attitude with internal and external customers. In this position you will be privy to confidential information and are required to keep information confidential.

 

Key Responsibilities

Business
  • Gain a great understanding of the Industry and Programs HDS systems and services supports. 
  • Gain a great understanding of our history and who we are in the market 
  • Understand purpose and use of HDS Systems 
  • Gain expertise in understanding for the software operation 
  • Learn how to support current clients backing up Product Specialists as needed 
  • Gain proficiency in the HDS Systems and Services 
  • Use CRM system to track client business relations 
  • Other duties as assigned 

Marketing

  • Conduct Market Research to identify potential clients, market opportunities, and competition.
  • Create marketing collateral, including white papers, web content, newsletters, ads, etc. 
  • Coordinate events including meetings, speaking engagements, trade shows and exhibits. 
  • Attend Trade shows and conferences as requested 
  • Develop marketing literature, ensuring valid, current and accurate content. 
  • Use CRM system to track leads, manage marketing campaigns, and follow-up on client-specific activities. 
  • Assist with executing communications plan and strategy for uniformity in message, including templates, tag lines, logo usage, and overall presentation. 
  • Administrative duties will include scanning, filing contracts, phone support, coordinating meetings and events 
  • Keep track of industry conference dates and assist in marketing department’s preparation for all conferences and tradeshows. 
  • Manage event budgets, including of the company’s annual technology conference. 
  • Other duties as assigned 

Contract Management

  • Coordinate contract efforts with HDS Management on current and potential clients 
  • Monitor contract requirements with HDS Management 
  • Use CRM to manage special requirements for each contract including but not limited to billing, services, and development and implementation requirements.  Use WOS as needed. 
  • Participate in Quote process 
  • Communicate/Handoff  contract requirements to HDS Management and Business/Team Project Manager 
  • Other duties as assigned 

Required Skills

  • Excellent attention-to-detail

  • Superior communication skills, both verbal and written 
  • Advanced experience with Microsoft Office, especially Excel and PowerPoint 
  • Proven strategic thinking and problem solving skills 
  • Ability to work independently 
  • Creativity; experience with Adobe Creative Suite a plus 
  • Ability to multi-task and work under last-minute deadlines 

Education Requirements

  • At minimum, a Bachelor’s degree in marketing or similar field, and one or more years of marketing experience.
